Pat’s Top 5 Email Management Tips
1. Set times each day - I use 3 - 30 minute time slots each day to manage email. I actually set a timer to keep track of my time.
2. Delete ruthlessly. I also delegate the job of "unsubscribing" to the items in the delete box. I pay a kid $50 to do this once a month. Well worth my sparing my time! Then trash the delete box each month.
3. I create folders for active project specific emails. I also create mid-stage management folders. "Reply next" "on hold" etc...
4. I use stars to quickly remind myself which ones to follow up on in the next 30 minute session. And send to a folder named "Reply next'. Once replied, I do something with it immediately: delete it, send it to an active project folder, or an On Hold folder.
5. Master concise replies. I pre-write replies whenever possible and cut and paste to speed through the process. Especially for a reply to an invitation on LinkedIN, Facebook,etc… With careful training, this task can be delegated as well, very easily.
